An aircraft-on-ground event is not a freight problem, it is a deadline problem with a freight component. The cost of the aircraft sitting dwarfs every transportation decision on the file, which changes how the shipment should be planned. Start with the deadline, not the shipment

Standard freight planning starts with the cargo and works toward a transit time. AOG planning runs in reverse: you fix the required on-wing or on-dock time, subtract the receiving station's access constraints, subtract the final-mile drive, subtract terminal recovery, and whatever is left is your usable booking window. That number decides the mode, not the other way around.

The practical consequence is that a slower-looking option often wins. A direct-drive ground unit leaving in forty minutes routinely beats a flight that leaves in three hours and lands at a terminal that closes before recovery.

The intake set that prevents rework

Most delay on an AOG file is caused by information arriving in pieces. Provide these together and the plan can be committed on the first pass:

  • Tail number, aircraft type and the AOG station
  • Part number, serial and your internal reference
  • Origin address and destination station, including cargo terminal and access hours
  • Ready time, hard cut-off and required delivery, each with the local time zone
  • Pieces, weight, dimensions and dangerous-goods classification status
  • Two escalation contacts reachable around the clock
  • Whether the part is rotable, and whether a core return needs to be booked on the same file

How the mode gets selected

Mode selection on an AOG is a comparison of committed arrival times, not published transit times. A coordinator will typically evaluate next-flight-out on commercial cargo capacity, a dedicated ground unit or team, and a hand-carry or on-board courier where the part is small and the lane is short on flight options.

Each option carries a different failure risk. Commercial air introduces screening, terminal acceptance and offload risk. Dedicated ground introduces hours-of-service and weather risk. The right answer is the option whose failure modes you can absorb given the deadline.

Where AOG shipments actually fail

In practice, the recurring failure points are unglamorous:

  • Dangerous goods discovered at the terminal rather than declared at intake
  • Known-shipper or screening status not confirmed before the tender
  • Recovery booked without checking the destination terminal's closing time
  • Receiving station access hours or airside escort requirements not verified
  • A single point of contact who goes offline mid-shipment with no escalation path
  • Cross-border paperwork prepared after dispatch rather than before

What good communication looks like

A well-run AOG file produces timestamped events, not a tracking link: pickup confirmed, tendered, flight departed, recovered, out for delivery, delivered with POD. Each event goes to the named stakeholders you specify, and every exception comes with a revised plan rather than just a notification.

Ask for that structure explicitly when you place the order. It is the single clearest indicator of whether the file is being coordinated or merely dispatched.
